Why Online Platforms are Necessary for Property Management

Everything seems to be online these days and the property management industry is no exception.

There are many interactions that take place between a tenant and a property management company. These take place before the tenant even takes up residence in a rental property (with the application and tenant screening information) all the way to the end of the lease (with the move-out inspection) and everything in between! This very large paper trail for each tenant can lead to unorganized chaos and an increased potential for lost documents.

Easy access for landlords/investors

As a landlord/investor, you turn the management of your rental property over to a property management company. They handle everything for you in regard to the property. Therefore, any records that are kept, will be in the possession of this company.

With an online platform, landlords/investors are able to login and instantly have access to the information surrounding their property. They can view lease and tenant information, financial information, maintenance records, etc.

Easy access for tenants

Online platforms also make things easier for tenants. Thanks to work schedules, sometimes it is hard for tenants to make it in to the property management office for things such as rent payments or property issues. Online platforms allow your tenants to make rent payments, maintenance requests, etc. anytime – without having to be in direct contact with the office.

Maintenance tracking system

The more rental properties you have, the more maintenance requests you will receive. To keep order among these requests, they are entered into the online platform. This is helpful in that landlords can see any problems with the property, maintenance team can have a clear view of requests to prioritize and, thanks to the online system, can view prior work order histories on specific properties.

Property managers can follow maintenance from first contact until completion. This will allow them to make sure the maintenance staff are working effectively and efficiently to combat any issues that may arise.

Paperless record management

Documents can get lost. It only takes one unorganized employee or one bad day for documents to get misfiled or misplaced. To keep this from happening, paperless documentation systems allow for the automatic organization of documents. In addition, backups can be made as a means of damage control.

24-hour access ability

Last, but certainly not least, online platforms mean that everyone has access to the system anytime, any day. Whether the landlord/investor wants to review financials for his or her accountant or see the number of repairs that has been needed on their property, the property managers want to run reports of outstanding rent payments or vacancies, or tenants need to make a payment – everything can be done via the online platform.
